FCA Modmail

Last updated: 8 September 2026.

This page brings together the privacy policy and the terms of use of the Modmail bots that French Community Agency runs on its own Discord servers. Instances deployed on behalf of a client are covered by a separate document, published on the server concerned.

How the bot works

Modmail acts as a shared inbox between members and staff. Your direct message to the bot opens a thread on the server, visible to staff only; their reply comes back to you as a direct message. You never speak to a staff member directly, the bot relays in both directions.

Who answers for your data

French Community Agency is the controller of the processing described below.

What the bot records

  • Your Discord account: numeric ID, username and avatar at the time of the exchange.
  • The content of your messages: the text you write, links to the attachments you send, the timestamp of each one.
  • The context: the ID of the server and of the channel where the thread opens.
  • The course of the thread: when it opened, when it closed, and any transfer from one staff member to another.

Nothing else is asked of you. The bot records no email address, no IP address and no payment details.

One word of advice all the same: this channel is for support, not for secrets. Do not write a password, an identity document or health information into it.

Why it is processed

  • To carry your messages to the staff, and their answers back to you.
  • To keep the history of a request, so staff can pick a case back up without making you write it all again.
  • To make it possible to check what was said, should a moderation decision be disputed.

The legal basis is FCA's legitimate interest in running a support and moderation channel on its communities, under article 6(1)(f) of the GDPR. You may object to it, and the section on your rights explains how.

Who has access

Staff members of the server authorised to handle requests, and the FCA staff responsible for running the bot, solely to keep it working.

Your data is not sold, rented or used for advertising. It is disclosed to a third party only upon request from a judicial or administrative authority, or from Discord Trust and Safety.

Where it is hosted

The bot and its MongoDB database run on servers operated by FCA, located in the European Union. No data is transferred outside the Union.

Discord remains the carrier of your messages before they reach the bot: that leg is governed by Discord's own privacy policy, which is outside our control.

How long it is kept

A closed thread and its log are kept for twenty-four months, then deleted. That window leaves staff enough to retrace an old exchange without turning the bot into a permanent archive.

Your rights

You have the right to access, rectify, erase, restrict, object to and port the data concerning you.

To exercise these rights, write to the bot, speak to the server staff, or contact [email protected] directly. We answer within one month. An erasure request removes your identifier and the content of your messages within fourteen days.

If our answer does not satisfy you, you may lodge a complaint with the French data protection authority (CNIL).

Security

Access to the database is restricted to the accounts that need it, authenticated and logged. Since no system is infallible, we do not promise invulnerability: we undertake to maintain proportionate measures and to warn you, as the law requires, should a breach put you at risk.

Terms of use

Who may use the bot

Any member of the server who complies with Discord's terms of service and the minimum age they impose. Staff may restrict a member's access to the bot.

What you undertake to do

  • Use the bot for what it is there for: reaching the staff.
  • Follow the server rules, which apply inside a thread as they do anywhere else.
  • Not flood it with messages nor seek to disrupt how it works.
  • Not attempt to circumvent, probe or divert its mechanisms.

Your messages

Everything you send to the bot is read by the staff and logged. You remain responsible for what you write: a message that breaks the rules may earn a sanction on the server, up to a ban.

Availability

The bot is provided as it stands, with no availability commitment. It may be interrupted, changed or withdrawn, for maintenance or for any other reason.

Liability

FCA is not answerable for indirect damage arising from use of the bot, from an interruption of service or from the loss of messages. This limit does not apply in the event of gross negligence or wilful misconduct, nor where French law forbids it.

Modmail is an open-source project that FCA deploys and runs. Its authors are not answerable for the decisions taken by a server's staff.

Third-party services

The bot depends on Discord, whose practices, rules and availability are outside our control. Your use of Discord is governed by its own terms.

Ending access

You stop using the bot whenever you like, by no longer writing to it. Staff, for their part, may withdraw your access. Either way, data already recorded follows the retention periods set out above, unless you ask for erasure.

Changes

This document may change. The date at the top of the page marks the last revision, and continuing to use the bot after a change means accepting the version then in force.

Reaching us

A question about this document: [email protected]. A question about an ongoing exchange: the server staff, through the bot.
